7. Inventory Management
The inventory module tracks your clients' stock with automatic journal entries. Every stock movement automatically creates the correct accounting entry.
Setting Up Inventory Items
Option A — From Template (Recommended):
- Go to the Inventory tab → tap Setup from Template
- Select language and business type (e.g. Trade, Agriculture, Manufacturing)
- Tap a category to expand and see item names
- For each category, select accounts: Inventory Account (required), COGS Account (required), Revenue Account (optional)
- Tap Create from Template — all items are created at once
Option B — Add Individual Item:
- Tap Add Item
- Enter item name, SKU, unit, category, costing method
- Set the 3 accounts (Inventory, COGS, Revenue)
- Set minimum stock level for low-stock alerts (optional)
- Tap Create
Viewing an Item's Stock Card
Tap any inventory item to open its detail screen. You will see:
- Current stock, average cost, and total stock value
- A Stock Card table — complete movement history with date, type, quantity in/out, unit cost, running balance, and running total value
Recording Inventory Transactions
Every inventory transaction automatically creates both a stock movement AND a journal entry.
- Tap Record Movement
- Select the movement type:

| Adjustment In | Found extra stock | Debit Inventory / Credit Adjustment |

- Select the inventory item
- Enter: Date, Quantity, Purchase Price (incoming) or Unit Cost (outgoing)
- Selling Price (Sale only, optional) — creates revenue line item and shows gross profit
- Payment Account (optional) — Cash or Accounts Payable/Receivable
- Add notes (optional)
- Tap Record & Create Journal
Important: Always set the Selling Price for sales if you want to record revenue. Without it, only the COGS entry is created.
Stock Opname (Physical Count)
- Open an inventory item → tap Stock Opname
- You will see the current system stock for reference
- Enter the Physical Count — what you actually counted
- The app shows the difference: green = surplus, red = shortage
- Select an Adjustment Account (optional)
- Add notes
- Tap Submit Opname
If physical count = system stock → marked as Matched. If different → an Adjustment movement + journal entry is created automatically.
Editing Inventory Items
Tap the pencil icon on any item row to edit.
Note: Items created from templates (shown with a 🔲 badge) cannot be deleted — only edited.
